Sometimes, for whatever reason, you might want to cancel your student accommodation. There can be many reasons for this, like not getting a place in the university you were hoping to study in, not being able to receive a student visa, or just realising that the accommodation or the university you chose were not the right thing for you after all.
In this blog post, we’ve listed the cancellation policies of several of the landlords whose properties we list. You can find your landlord in the list and read important information about your rights and obligations in the event that you need to cancel your booking. If you have any questions, you can always contact us at Student.com as well, and our booking consultants will be happy to try and help you out. To finalise your cancellation, you will have to contact your landlord though. For this, we’ve also listed the contact details of the different landlords.

While we hope that everything runs smoothly, we also understand that you may change your mind or have a change of circumstance. We allow a free cancellation up to 7 days after booking. Please get in touch with us to let us know if you think you may need to cancel.
2. AXO Student Living

Cancellation policy
- Unless you have already collected the keys to the accommodation, you may cancel your booking by writing or sending an e-mail to us at info@axostudent.co.uk, at any time during the 7 days after you have accepted the offer and paid your deposit. If you do that, we will make no charge and will return your Security Deposit to you within 21 days.
- Provided the 7 Day Cooling-Off-Period has expired, you will have to pay all amounts due under your Tenancy Agreement unless a replacement Tenant is found for your Room or you enter into a new Tenancy. If a replacement Tenant is found for your Room before your start date, we will release you from your Tenancy Agreement on the date seven days after the new Tenant’s Tenancy Agreement is signed. If a replacement Tenant is found for your Room after your start date, we will release you from your Tenancy Agreement from the start date of the replacement Tenant’s new Tenancy Agreement. If you have occupied the Room prior to this, you will be charged £50.00 to cover our costs of preparing the Room for the replacement Tenant.
- No Place No Pay (applicable to 1st year students only) – If you are a prospective first year undergraduate student and your offer of a place at your preferred University/Higher Education Institution is withdrawn by the University/Higher Education Institution as a result of you not achieving their required entry grades, you may be eligible to be released from this agreement. You may also be eligible to be released from this agreement if you are a prospective first year undergraduate student and you choose to go to a different University because you have exceeded your expected grades. To apply to be released from this agreement in the circumstances referred to above, you will need to supply us with a copy of:
- A written rejection letter from your chosen university/college or UCAS or a screen shot of your UCAS status which confirms that the required results were not achieved; or
- A copy of the proof of acceptance of your new university by UCAS adjustment. These document(s) must be received by us within 7 calendar days from the date your results are published. Please email the documentation to info@axostudent.co.uk.
On receipt of the required documentation it will be verified and, provided we are satisfied, we will cancel your agreement and refund any deposit or advance rent paid in full.
Denied visa cancellation
If you are denied a VISA and as a result cannot enter the UK to partake in your University degree, then you can cancel your booking with no obligation to the contract, so long as evidence of the VISA denial is sent to us within 7 days of the letter/correspondence date. On receipt of the required documentation it will be verified and, provided we are satisfied, we will cancel your agreement and refund any deposit or advance rent paid in full.
COVID–19 supplementary cancellation conditions
- In the event that a student is unable to move into the accommodation due to contracting Coronavirus then AXO will release them from their contract provided that supporting medical evidence is provided.
- In the event the student does not receive their VISA due to the Coronavirus then AXO will release them from their contract prior to them moving in. Supporting evidence must be submitted to AXO.
- Students who are already in our accommodation and choose to leave will not be entitled to any refund of monies paid and nor will they be released from their contract or future rent payment obligations.
- In the event that, due to the COVID-19 pandemic, you experience any unexpected delays to your University start date, then AXO Student Living will look to alter the start date of your accommodation contract in line with said delay. Contract alterations will only be considered if supporting evidence is provided in the form of a letter from the University to info@axostudent.co.uk and will be reviewed on a case by case basis.

Cancellation policy
Year-round Halls of Residence
Cancellations received less than 4 weeks prior to arrival will incur a cancellation charge of 4 weeks, plus booking fee. For bookings of 13 weeks or more, once confirmed, cancellations received will incur a cancellation charge of 4 weeks, plus booking fee, and there will be no refund for cancellations received less than 4 weeks prior to arrival.
Summer Halls of Residence
Cancellations received less than 4 weeks prior to arrival will incur a charge of 4 weeks or equivalent to whole stay for shorter bookings.
Apartment/House Shares
Cancellations received less than 4 weeks prior to arrival will incur a cancellation charge of 4 weeks, plus booking fee.
Homestays
Cancellations received less than 1 week prior to arrival will incur a cancellation charge of 1 week, plus booking fee.
Note: Until further notice, a full refund will be provided if cancellation is:
– Due to a Covid-19 travel ban, imposed by any government or government institution, e.g. the FDCO, which is in effect on the day of arrival and which prevents the client from getting to their accommodation in the UK; due to a course of study/internship programme that the client has booked (and has been confirmed) to attend for a substantial period* during their stay at the accommodation, being cancelled by the course of study/internship programme provider altogether;
– Due to a course of study/internship programme that the client has booked (and has been confirmed) for a substantial period* during their stay at the accommodation, being altered by the course of study/internship programme provider such that it is no longer available to be attended ‘in person’ and proceeds online only.
A refund will not be provided if the cancellation is due to a disinclination to travel on the part of the client, e.g. the course of study/internship program provider offers both in-person and online attendance and the client chooses to not attend, or only attend online.
*A substantial period is considered to be for more than 70% of the period booked to stay in the accommodation. e.g. for a 10-week accommodation booking, attendance on the course of study/internship programme is for 7 or more of these weeks.

Cancellation policy
To secure your room prior to 31st July, you must do the following within 3 days of receipt of this Tenancy Agreement (these 3 days being known as the “Decision Making Period”):
- Pay your Holding Fee (which will be deducted off your first instalment of Rent if your booking is not cancelled).
- Both the Tenant and the Guarantor must sign the Tenancy Agreement. If you have not paid the first instalment of Rent on the date of booking, this must be paid on or before 31 July, otherwise, we reserve the right to cancel your booking.
For bookings made after 31st July, to secure your Room you must do the following within the Decision-Making Period:
- Pay your first installment of Rent.
- Both the Tenant and the Guarantor must sign the Tenancy Agreement.
A Holding Fee will not be required for bookings made on or after 1st August.
Failure to secure your Room within the required timescales may result in the cancellation of your booking by us.
Cancelling within the Decision-Making Period
The Holding Fee is refundable if you provide us with notice of your intention to cancel within the Decision Making Period. If you cancel your booking after the Decision Making Period but prior to 31st July, any advance payment of Rent will be refunded to you less your Holding Fee, which will not be refunded.
Taking no action throughout the Decision Making Period. If at the end of the Decision Making Period you have taken no action, i.e. not signed and accepted your Tenancy Agreement and/or not paid your Holding Fee and/or your first instalment of Rent then your offer will be cancelled on our system and your Room will be made available for someone else to book.
Cancelling on or after 1 August after accepting your Tenancy Agreement and having paid your first instalment of Rent. To request to cancel your booking outside of the Decision Making Period on or after 31st July but prior to the Tenancy Start Date as set out in the Tenancy Agreement, you must meet any of the following criteria:
- Your application for a visa has been declined. Please note that this does not include situations where your visa has been granted and subsequently withdrawn.
- You have failed to obtain your grades to study at university and as such do not have student status.
(the “Cancellation Criteria”)
If you meet any of the above Cancellation Criteria and can provide us with evidence demonstrating that you meet the above criteria, your request for cancellation will be granted. If you have already accepted your Tenancy Agreement and paid your first instalment of Rent at the date your cancellation request is granted, we will refund you the first instalment of Rent less any Holding Fee paid (or an amount equivalent to the Holding Fee if you booked your room after 31st July).
If you need to cancel your booking outside of the Decision Making Period on or after 31st July but prior to the Tenancy Start Date as set out in the Tenancy Agreement after accepting your Tenancy Agreement and having paid your first instalment of Rent but cannot meet the above Cancellation Criteria you will remain liable in full for the Rent for the full term of the Tenancy Agreement. This is unless a suitable replacement tenant can be found by you, acceptance of which will be at our sole discretion. Please note that we will not agree to a replacement tenant unless all outstanding accounts with us are settled.
Any decision made to release you from your Tenancy Agreement for any reason that does not fall within the Cancellation Criteria is made by us, at our sole discretion on a case by case basis.
After the Tenancy Start Date as set out in the Tenancy Agreement, requests for room moves or for us to accept a replacement tenant to take over you tenancy will be managed based on availability and at our sole discretion. An Administration Fee of £50 will be payable in each instance if agreed to by us and you will be responsible for cleaning the room in accordance with the terms of the Tenancy Agreement.
Requests for replacement tenants received after 1 June within the Tenancy Period will not be accepted.
Tenancy Agreement
You will receive a copy of your Tenancy Agreement, including your Tenancy Letter and Terms & Conditions for review and acceptance via the Student Portal.
A tenancy agreement will only come into effect and the Tenant’s right to occupy the Room will only start once:
(a) The first instalment of Rent has been received by us in cleared funds; and
(b) The Tenancy Agreement has been signed by you and (unless waived by the Landlord) the Guarantor

Cancellation policy
- Cancellation cooling off period(s)
If you choose to cancel your booking with Cloud Student Homes, you have 7 calendar days after signing your AST to do so.
If you made your booking fewer than 7 calendar days before your AST start date you may cancel your booking up until the day prior to your tenancy start date, without incurring penalty.
You may request to cancel your booking by sending an email to info@cloudstudenthomes.co.uk or contacting your property management team.
Cloud Student Homes will refund your deposit within 10 working days of accepting your cancellation. International bank transfers can take longer to process funds and incur a transfer fee.
- Cancellations after the cooling off period(s)
Any requests outside the above period will require you to find a student to replace you, who in turn will need to complete the AST and paid their deposit via StuRents. Once they have passed the 7 days cool off period you will be released from the tenancy.
- Cancellations after you have moved into the accommodation
You must speak to your local Property Manager if you are thinking about leaving your accommodation. If you do decide to leave your accommodation during your contracted term, the landlord may agree to release you from your contract, providing the conditions set out below are met:
- You find a suitable replacement (who must be enrolled as a full-time student at a local university or college) to take a new tenancy agreement for your room for the remaining period of your contract.
- The incoming tenant must sign an AST with Cloud Student Homes, providing the relevant requested documents, and where relevant also providing a suitable UK Guarantor.
- Refunds due will not be processed until the incoming tenant taking over the contract has signed the AST, paid and moved into the accommodation. Please note that you will be charged for the length of stay you occupied the room, and for any difference in rental. The amount between yourself and the replacing student (if applicable). If you fail to find someone to take over your tenancy, you and your guarantor (if applicable) will be responsible for paying the full rent until the end of your contracted time at the accommodation.
- Cancellations by Cloud Student Homes or the Landlord
Our terms and conditions require you to sign your AST within the period specified on your electronic AST. If you and your Guarantor (if applicable) fail to sign your AST within this timescale, your AST will be automatically canceled.
If for any reason Cloud Student Homes is not able to offer you accommodation once your AST is fully signed, we will contact you as soon as possible detailing the reasons why, or offering an alternative solution. If we cannot offer an alternative, or the alternative is not suitable, we will refund all monies paid to Cloud Student Homes.
- First-year students who do not get a place at university: “No Place, No Stay”
This offer is applicable to undergraduate first-year students only.
If you are a prospective first-year undergraduate student, and your offer of a place at your preferred university/higher education institution is withdrawn as a result of not achieving the required entry grades, you will be eligible to receive a refund of your deposit. You may also be eligible to cancel under “No Place, No Stay” if you choose to go to a different university in a city that does not have availability in a Cloud Student Homes property because you have exceeded your expected grades.
To cancel under “No Place, No Stay”, you must supply either;
(a) a copy of a written rejection letter from your chosen university/college or UCAS, which confirms that the results you required for acceptance were not achieved; or
(b) a copy of the proof of acceptance to a new university by UCAS adjustment. This must be received by Cloud Student Homes (info@cloudstudenthomes.co.uk or directly to your property management team) within 5 calendar days of the date on which your results are published. Upon receipt of the required documentation, the agreement will be canceled with a refund of your deposit.
- Visas
If your Visa has been refused then you will need to contact your accommodation team within 5 days of the refusal with the evidence of the refusal in order for your cancellation to be processed and the deposit refunded. Please note that if a Cloud Student Homes property is within the city for your alternate University then the above does not apply – you will (subject to availability) be offered a room within the alternate property and be required to sign an alternate AST with the new accommodation. If there is no availability, then your AST from your original property will be canceled. Please contact info@cloudstudenthomes.co.uk to transfer your tenancy or to query availability within your alternate city location.
- Room Moves
If you wish to change rooms, please contact the on-property team to discuss your requirements. If you are upgrading to a higher standard of room, you will have to agree to any uplift in rent. All room moves are subject to availability.
Please note all rental monies must be paid prior to the transfer of rooms.
If your room is not ready or available for occupation at the start of your tenancy agreement, then Cloud Student Homes will provide you with an alternative room (preferably in the same accommodation, however Cloud Student. Homes reserves the right to provide alternate accommodation in/during emergency circumstances at an alternate accommodation).
If during/prior to your tenancy, your accommodation becomes unfit for occupation due to an incident (including but not limited to fire, flood or loss of essential service), you will be provided with alternative accommodation in the local area covered by the building insurance (subject to availability, and therefore may not be possible to provide the same facilities ie kitchen/gym) for the duration of the incident and in line with your tenancy end date (if your tenancy date ends prior to your return to the accommodation then the alternative accommodation will cease from the end date of your tenancy agreement). This temporary accommodation does not affect your legal obligation to pay rent as per Section 3 in the tenancy agreement.

You may be eligible to be released from your agreement if:
Your offer of a place at your preferred University/Higher Education institution is withdrawn as a result of you not achieving the required entry grades, you have surpassed your required entry grades and choose to go to a different University or you have extenuating circumstances that prevents you taking your place at University.
In order to meet the criteria you will need one of the following:
- To provide a written rejection letter from your chosen university/Higher Education Institute
- Evidence as to why you cannot take your place
You will be required to pay a Deposit (“Deposit”) at the commencement of the Residential Period.
This payment will be collected with your first rental payment.
Your Deposit will be held under a Tenancy Deposit Protection Scheme and will be used as security against any damage to the Room, the Flat or the Property (fair wear and tear excepted), any damage to the furnishings or other equipment provided (fair wear and tear excepted) and any unpaid Rent or other charges incurred during the duration of your Tenancy Agreement. The balance of the Deposit will be paid to you within 28 days after the termination of the Tenancy Agreement, less any reasonable costs incurred for the breach of any obligation under the Tenancy Agreement.
It is important that you understand that when you sign your Tenancy Agreement, you are entering into a legal agreement with the Landlord, and are liable for the full rent due for the Residential Period.
Cancellation of your Booking by Collegiate AC
Our terms and conditions require you to sign your Tenancy Agreement online within 15 days of receiving the Offer of Accommodation.
If you fail to sign your agreement within this timescale we may cancel your booking, giving notice by email, and you will forfeit any ‘reservation rent’ paid if it is outside the 15 day cooling off period.

Cancellation policy
If you choose to cancel your booking with CRM Students, you have 14 calendar days after receiving the original Accommodation Offer to do so and get a full refund of the Holding Deposit paid.
If you have made your booking less than 14 days before your scheduled check-in date, you may cancel your booking until the earlier of (a) 14 days after receipt of the Accommodation Offer email and (b) the Tenancy Start date on your Tenancy Agreement.
You may cancel your booking by sending an email to the relevant Accommodation Office email address listed on the individual sites’ contact details on www.crm-students.com. CRM Students will refund your Holding Deposit within 7 calendar days of cancellation. If you cancel your booking after the cooling-off period has expired, you will not get your Holding Deposit returned to you, and you and your guarantor if reasonable, will be required to meet the obligations set out within the Tenancy Agreement.

Applications made/completed before 30th November 2020
For bookings made before the 31st July for the next ‘academic year’ you may cancel your booking within 48 hours from accepting the terms of the agreement and completing the tenancy on line. If you chose to cancel your booking with Downing Students during the cancellation period we reserve the right to retain £50 from the Security Deposit paid in lieu of costs incurred
For Bookings made between the 1st and 31st of August for the next academic year you will not be able to cancel. (Please refer to the Re-let policy / ‘No Place, No Pay’ policy)
Bookings made in and for the current academic year may not be cancelled once the terms of the tenancy have been accepted and the agreement completed (Please refer to the Re-let policy)
Failure to complete the Agreement: In the instance where a deposit is paid and the offer of accommodation is declined i.e. the tenant fails to manually or digitally sign a Tenancy Agreement, we reserve the right to retain £50 from the Security Deposit in lieu of costs.
Applications made/completed on or after 30th November 2020**
For bookings made before the 31st July for the next ‘academic year’ you may cancel your booking within 48 hours from accepting the terms of the agreement and completing the tenancy on line. If you chose to cancel your booking with Downing Students during the cancellation period we reserve the right to retain the Holding Deposit in lieu of expenses incurred
For Bookings made between the 1st and 31st of August for the next academic year you will not be able to cancel once you have accepted the terms of the agreement and competed the tenancy online. (Please refer to the Re-let policy / ‘No Place, No Pay’ policy)
Bookings made in and for the current academic year may not be cancelled once the terms of the tenancy have been accepted and the agreement has been completed (Please refer to the Re-let policy)
Failure to complete the Agreement: In the instance where a holding deposit is paid and the offer of accommodation is declined i.e. the tenant fails to manually or digitally sign a Tenancy Agreement, we reserve the right to retain the Holding Deposit in lieu of costs incurred.
Subject to the cancellation periods stated above once you have signed your tenancy agreement you will be legally bound by the terms stipulated in your tenancy document.
** Note: cancellation terms may vary if you booked on our free cancellation offer. Full terms and conditions here.
Once the Cancellation Period has expired or if you have collected the keys for your accommodation you will be legally bound by the terms and conditions of the Tenancy Agreement and will be liable to pay all the amounts due. You cannot terminate, or be released from your Tenancy, until such time that you have successfully re-let your room (see Re-let Policy). Please note that a room can only be re let at the higher of the rent specified on the tenancy agreement and the current prevailing rent. This may not necessarily be the same as the rent specified on the outgoing tenant’s agreement. Any outstanding amounts on your account must be paid in full prior to the landlord agreeing to re let your room. You are not permitted to sublet your room; all rental agreements must be made through Downing Students. In order for Downing Students to re let your room you must complete a Re let form and administration charges will apply.
No Place No Pay: Provided you have not collected your keys the following will apply
If your offer of a place at your preferred/current University/Higher Education Institution is withdrawn by the University/Higher Education Institution as a result of you not achieving their required entry grades or passing your end of year exams, you may be eligible to be released from this agreement. You may also be eligible to be released from this agreement if you are a prospective first year undergraduate student and you choose to go to a different University because you have exceeded your expected grades. To apply to be released from this agreement in the circumstances referred to above, you will need to supply us with a copy of:
– A written rejection letter from your chosen university /college or UCAS or a screen shot of your UCAS status which confirms that the required results were not achieved; or
– A copy of the proof of acceptance of your new university by UCAS adjustment.
These document(s) must be received by us within 7 calendar days from the date your results are published or by 1st September (which ever date is the sooner). Please email the documentation to info@downingstudents.com. On receipt of the required documentation it will be verified and, provided we are satisfied, we will cancel your agreement and refund your deposit in full.
If you cannot get a visa to study in the UK
Provided that you have NOT collected the keys, and you have evidence in writing that your application has been refused, we will release you from the tenancy and refund the deposit, provided that you send this evidence to us within 1 week of your notification.
If the Tenancy has already commenced, and you have NOT collected your keys, you will be charged for the period from the ‘Tenancy Start Date’ to the date you send us with evidence that you have not been granted a VISA, provided that we receive the evidence in writing within 1 week of your notification. If you have moved into the accommodation prior to your Visa application being declined you will be responsible for the rent until we can find a student to rent your room.
Summer let cancellations
Summer cancellation request made more than two weeks before the summer tenancy start date:
May be cancelled if evidence is provided to support reason for cancellation (e.g.no summer course, unable to meet conditions of offer etc)
In the case where the summer let is cancelled by Downing the Holding Deposit will be refunded
If customers want to cancel and are unable to provide supporting evidence to support the reason for the cancellation / they have changed their mind the Holding Deposit paid will be held in lieu of costs incurred
Summer cancellation requests made less than two weeks before the summer tenancy start date cannot be cancelled.
Re-let policy
Kindly note that our tenancy agreements do not allow you to sublet rooms. Any customers who want to re-let their room need to complete the relevant ‘Re-let form’. If you require this form, please request it by email from your site team.
Any customers who are re-letting the previous tenants room need to compete the relevant tenancy agreement and be a full-time bona fide student who is acceptable to us.
An ‘Academic year’ covers the period 1st September to 31st August.
For bookings made before the 31st July for the next academic year
If you chose to Re-let your room, Downing Students will charge you £50 for costs incurred. Downing Student reserve the right to deduct this amount from any credit balance on the account or the Security Deposit if applicable.
Re-lets cannot be for a section of the tenancy, must be for the full period of the tenancy.
Finding replacement tenant is your responsibility. Downing students will assist however please note we would prioritise direct available rooms.
Re-let is complete only when new tenant has signed their tenancy agreement and is outside their cooling off period.
Refunds will be processed when agreed and in line with the DPS / LPS.
For bookings made between the 1st August and tenancy start date for the next academic year.
If you chose to Re-let your room, Downing Students will charge you £50 for costs incurred. Downing Student reserve the right to deduct this amount from any credit balance on the account or the Security Deposit if applicable.
Re-lets cannot be for a section of the tenancy, must be for the full period of the tenancy.

Please note 48 hours are required between old tenant departing and new tenant arriving. Re-letting tenant is liable for this period.
Finding replacement tenant is your responsibility. Downing students will assist however please note we would prioritise direct available rooms.
Re-let is complete only when new tenant has signed their tenancy agreement and paid any fees due.
Refunds will be processed when agreed and in line with the DPS / LPS.

Should You cancel your booking within 24 hours You will be refunded your Deposit in full.
Should You cancel your booking after 24 hours but prior to the commencement of your Period of Residence You will be refunded your Deposit less an administrative fee of €50.
Should You terminate this Agreement within 7 days of the commencement of your Period of Residence You will be refunded 50% of your Deposit This refund is subject to your Room not being damaged, being left in a clean and tidy condition and there being no fines levied in connection with this Agreement.
Should you terminate this Agreement 7 days or more after the commencement of your Period of Residence and before the end of your Period of Residence You will be refunded 25% of your Deposit. This refund is subject to your Room not being damaged, being left in a clean and tidy condition and there being no fines levied in connection with the Agreement.
If this agreement terminates at the end of your selected Period of Residence you will be refunded 100% of your Deposit. This refund is subject to your Room not being damaged, being left in a clean and tidy condition and there being no fines levied in connection with this Agreement.
Refund of your Deposit is subject to payment of the Licence Fee and associated charges being up to date. The Licensor shall be entitled to use your Deposit as credit against any costs it incurs for cleaning, repair and replacement of damaged items and against settlement of any monies owed by You to the Licensor.
You must submit a cancellation form to Residence Management if You wish to terminate the Licence Agreement prior to the end of the Period of Residence.
Should this Agreement be terminated by You during your period of Residence You will still be liable to pay the Licence Fee in full for the whole of the Period of Residence. The Licensor will use its reasonable endeavours to re-licence the Room and in the event that the Licensor is able to re-licence the Room You will be entitled to receive credit for the balance of the Licence Fee (less your Deposit as referred to in this clause) paid by You in advance which corresponds to the Period in which the Room is re licenced.

Covid-19 Update
The COVID-19 pandemic has been recognized as an extenuating circumstance by Harrington Housing. Guests who booked for a future date and have already paid a deposit and placement fee, but decided to cancel or postpone their bookings or are exposed to a travel ban, will be allowed to carry forward their deposits as an in-house credit for an 18-month period. This credit can be used for a future booking at a different date at any Harrington locations, including Toronto, Montreal, Miami, New York, Boston, Chicago, Washington DC, London, Austin, and Michigan with the updated prices by that date. The return of the rent payment will be issued in accordance with the general terms.
General cancellation policy
Prior to Arrival:
Harrington Housing will issue a refund for the rent in accordance with the following terms:
1- If the cancellation request is received at least 31 days in advance, the Resident’s liability will be waived for the balance of the rent for the remainder of the term and the rental amount paid will be refunded in 21 days. The furniture deposit is not refundable (refer to our furniture deposit policy).
2- If the cancellation request is received between 10 days and 30 days, the Resident will be charged a 2-week period of rental payment and his/her liability will be waived for the balance of the rent for the remainder of the term after 2 weeks, and the rental amount paid exceeding 2 weeks will be refunded in 21 days. The furniture deposit is not refundable (refer to our Furniture Deposit Policy).
3- If the cancellation request is received in less than 10 days of the arrival, the Resident will be charged a 4-week period of rental payment and his/her liability for the balance of the rent will be waived for the remainder of the term after 4 weeks, and the rental amount paid exceeding 4 weeks will be refunded in 21 days. The furniture deposit is not refundable (refer to our furniture deposit policy).
4- If the cancellation request is based on a visa denial and supported by valid proof, the Resident’s liability for the balance of the rent for the remainder of the term will be waived and the rental amount paid will be refunded in 21 days. The furniture deposit is not refundable (refer to our Furniture Deposit Policy).
After Arrival:
The general terms for early cancellation after arrival can be found in Section 23 of the Licence Agreement, as follows: “(1) In the event of early termination of this Agreement by Licensee, Licensee will be responsible for the agreed-upon monthly rent until the termination date stated in this Agreement”
However, in unforeseen and supervening circumstances causing the Resident to leave the room before the lease end date, Harrington Housing may agree to release the Resident from the contractual obligations providing the following conditions are met, all together:
1- The termination request should arise from an extenuating circumstance, including serious illness or government obligation, along with supporting proof from an authorized agency. The emerging circumstance shall be accepted by the Harrington Booking Department as a valid reason for early termination.
2- The Resident finds a suitable replacement to occupy the room/apartment for the remainder of the Agreement without any vacancy gap in between two bookings. The accommodation application of the new person shall be approved by Harrington Housing, and a $/£100 admin fee will be charged for the verification of the new person as well as the preparation of the admission paperwork.
3- If the Resident fails to find a suitable replacement in a reasonable period, Harrington Housing will take the charge of finding a suitable replacement for the room, and a $/£250 marketing and admin fee will be levied on the Resident’s account.
4- In both cases, the Resident will be responsible for the rent until a suitable replacement starts the tenancy or until the original lease term of the Resident comes to an end, whichever occurs first. In other words, the Resident will pay both the cancellation fee ($/£100 or $/£250), and the rent for the vacant period until the new replacement starts.
5- Termination request will not be considered unless the Resident has completed at least a 4-week period of accommodation, and long-term booking concessions and discounts (if) given to Resident will be withdrawn.

Cancellation policy
If for any reason you decide to leave during your contracted term, we might be able to release you from your tenancy agreement. But only if these conditions are met:
You agree not to transfer or sublet the tenancy to anyone else without our written consent, as in point 7.1(n) of the tenancy agreement.
You find a suitable replacement to take a new tenancy agreement for the rest of your tenancy. This person must: be at least 18 years old and enrolled as a full-time student in a university close to the accommodation; enter into a tenancy agreement with us and pay all sums due within it; and provide a guarantor where reasonable, who must accept the terms and conditions set out in the tenancy agreement.
You pay a £50 administration fee.
We can’t refund you until the student replacing you has taken over your room’s contract, signed the tenancy agreement, paid, and moved in.
If you can’t find someone to take over your tenancy, you’ll be responsible for paying the full rent until the end of your tenancy agreement.

Cancellation policy
Some properties have an extended flexible cancellation period for 22-23 academic year bookings, as per the lists below. Properties that appear in this list will allow cancellation of your booking up to 31st May 2022 for any reason without penalty, and we will refund your security deposit in full as outlined in the standard cancellation terms.
This applies to any tenancy length for 22-23 academic year bookings only. For the avoidance of doubt, it does not apply to any bookings for accommodation during the 21-22 academic year or summer 2022 period.
You must notify us in writing (including email) no later than 23:59:59 on 31/05/2022. After this date, the standard cancellation terms apply.
This promotion is in addition to our standard cancellation terms which continue unaffected.
This promotion only applies to bookings made directly with us or through an agent and does not apply to bookings made via universities or other institutions as part of nominations or referral agreement unless expressly specified.
Cancelling your booking using this promotion invalidates any other promotion you may have been eligible for, including but not limited to any prize draws, cashbacks or referral incentives.
Existing customers must be up to date with payments due on their account to be eligible for this promotion.

Cancellation policy
Long Stay Rate: All long stay packages are based on a minimum of 28 consecutive nights. A £500 holding fee is due upon booking to secure your apartment. This payment will be deducted from the overall cost of your stay. If you cancel within 48 hours of making your booking, we will refund you your £500 holding fee. However, full payment or termly payment is due on completion of booking. This is non-refundable, non-amendable and non-transferable if the booking is cancelled.
Early Departures: Cancellation fees will be applied in line with the cancellation policies of your rate plan. Typically, this could be the next termly payment or the remainder of the booking duration.
We reserve the right to cancel your booking at any time with immediate effect if payments for bookings have not been made within the agreed time frames. Or you break the contract in anyway.
We also may cancel your booking in the event of severe weather conditions, acts of terrorism, fire, flooding, power failure, emergency evacuation, other circumstances beyond our control. In the event of such a cancellation, we will endeavour to contact you in advance and advise alternative options.
Out-booking: In the unlikely event that we are not able to accommodate your booking on the night of arrival, we will find alternative suitable accommodation and ensure that you are charged no more than the original booked rate. Any difference will be covered by IconInc @ Roomzzz for your inconvenience.
No Visa, No Pay Terms and Conditions
We will cancel your booking without penalty if your visa is rejected, subject to the student sending IconInc a copy of the visa rejection letter within 48 hours. Cancellations will only be accepted prior to 1st August 2022.
No Place, No Pay Terms and Conditions
We will cancel your booking without penalty if your place at University is rejected, subject to the student sending Iconinc a copy of the University rejection letter within 48 hours. Cancellations will only be accepted prior to 15th August 2022.

Cancellation policy
iQ Student Accommodation reserves the right to cancel your booking on notice if:
– You notify us after the Deadline that you have decided not to enter into the Tenancy Agreement;
– We take all reasonable steps to enter into the Tenancy Agreement before the Deadline and you fail to do so, for example, if you fail to complete your application or provide guarantor details and supporting documentation in good time;
– You provide us with relevant false or misleading information;
– We are prohibited from entering to the Tenancy Agreement with you because of the Immigration Act 2014 (persons disqualified by immigration status). In the case we cancel your booking for this reason, you will not be liable for the contractual obligations laid out in the Tenancy Agreement from the date of cancellation, irrespective of whether you have signed it;
– We have determined that you may be subject to sanctions imposed by any relevant government including those maintained by the United Kingdom Treasury and the United States Office of Foreign Assets Control;
– You have not paid any amounts that fall due before your tenancy start date (including any previous year’s rent or damage charges); and/or you have committed any breach of the Tenancy Agreement in any previous tenancy agreement with us.
We may also terminate your Tenancy Agreement for any of the reasons set out above, as set out in more detail in clause 2.4 of the Tenancy Agreement itself.
If your booking is cancelled in such circumstances, any Booking Fee you have paid will be retained by IQ.
Failure to collect your key within timeframe
If you enter into the Tenancy Agreement, and you then fail to collect your key within 5 weeks of your Tenancy Start Date, iQ Student Accommodation reserves the right to: (a) cancel your booking and terminate the Tenancy Agreement and (b) re-let your room. In these circumstances any rent paid by you (including any Booking Fee allocated to the first payment of rent) will not be refunded to cover any losses incurred by us for empty unlet rooms. This provision takes precedence over any provisions in the Tenancy Agreement.
Cancellation by you – prior to collecting your key
If you have entered into the Tenancy Agreement and you wish to cancel your booking, you will remain liable for the contractual obligations set out in the Tenancy Agreement and you may not cancel the booking unless you can provide proof that you fit any of the following criteria and have not yet collected your key, and provide the evidence required within the timescales as detailed below:
– You notify us of your intention to cancel your booking prior to 1 August or, if your Tenancy Start Date (as defined in your Tenancy Agreement) is in any month other than September, 28 days before your Tenancy Start Date.
– You notify us of your intention to cancel within 7 days of payment of your Booking Fee (if you have paid a Booking Fee) and you have not collected your keys.
– Your UK Visa application has been denied.
– You have not obtained the required qualifications to get into your first University of choice
– You are deferring your university entry.
Where proof is provided in accordance with these terms and conditions and to our reasonable satisfaction, you will be entitled to cancel the booking and you will not be liable for the contractual obligations laid out in the Tenancy Agreement from the date of cancellation.

Evidence required where there is a cancellation by you
Notify us of your intention to cancel within 7 days of payment of your Booking Fee (if you have paid a Booking Fee) and you have not collected your keys.
No further evidence is required beyond notifying us, and your Booking Fee will be returned to you.
Notify us of your intention to cancel prior to 1 August or 28 days before your Tenancy Start Date if your Tenancy Start Date is in any month other than September but more than 7 days after the payment of your Booking Fee (if you have paid a Booking Fee).
No further evidence is required beyond notifying us. Your Booking Fee (if you have paid a Booking Fee) will be retained as a cancellation fee.
Failure to get in to your first university of choice
Should you fail to gain the required qualifications and are not accepted into the University you stated as your first choice, or you choose to go to a different University because you have exceeded your expected grades, you may cancel your Tenancy Agreement and we will refund any Booking Fee and any rent payments made so long as you provide the following information within the timescales mentioned below:
Written confirmation from you that you wish to cancel your reservation due to having failed to obtain the required grades for your first choice University or you have exceeded your grades; and
Supporting written evidence from the University or UCAS rejecting your entry/acceptance of your new university.
This information must be provided to us within 72 hours of your exam results being published to be eligible for a Booking Fee refund (if you have paid a Booking Fee). In these circumstances, any Booking Fee and rent payments will be returned in full within four weeks. If you fail to provide the information within 72 hours of your exam results being published, any Booking Fee will be retained as a cancellation fee.
Please note, if you are attending another University in a city where iQ Student Accommodation has a property, our team will be happy to support you in finding suitable accommodation. In this case, any Booking Fee and any rent payments made may be transferred over to your new booking.
Failure to obtain a UK Visa
If you fail to obtain a UK Visa before the start date of your tenancy, we will cancel your Tenancy Agreement and refund any rent payments made so long as you provide the following information:
Written confirmation from you that you wish to cancel your reservation; and
Supporting official evidence to show that the Visa was declined.
This supporting evidence should be supplied to iQ Student Accommodation within 72 hours of you receiving official confirmation. In these circumstances, any Booking Fee and any rent paid will be returned to you within 4 weeks.
Deferment of university entry
If you choose to defer your university entry to the next academic year before the start date of your tenancy, we will cancel your Tenancy Agreement and refund any rent payments made as long as you provide the following information:
Written confirmation from you that you wish to cancel your reservation due to deferring your university entry to the next academic year; and
Supporting written evidence from the University or UCAS to confirm deferral
In these circumstances, any Booking Fee will be retained as a cancellation fee.
Where the reason for cancellation is not one of the five matters listed above (e.g. you have changed your mind, booked a different accommodation, voluntarily withdrawing your university entry), you will remain liable for the full contractual rent, unless and until a replacement tenant is found for your accommodation. You are responsible for finding an eligible replacement tenant, although site staff will assist where possible.
If you wish to cancel the booking and a replacement tenant is found, subject to our agreement, you will be released from the contractual obligations set out in the Tenancy Agreement. Once the new replacement tenant has signed their Tenancy Agreement and paid any rent due, any overpaid rent money will be refunded to you, less an amount equal to your Booking Fee (if you have paid a Booking Fee) as a cancellation fee Please note that all tenancies commence on a Saturday; therefore the relevant site team will confirm your official release date from your contractual obligations under the Tenancy Agreement.
Cancellation by you – Earlier of key collection or commencement of Tenancy Start Date
Once you have collected your key or the Tenancy Start Date has passed, the only way to release yourself from the Tenancy Agreement is to find a replacement tenant who will take on the full contractual obligations under the Tenancy Agreement.
If a replacement Tenant is found for your Room after your start date, we will release you from your Tenancy Agreement from the start date of the replacement Tenant’s new Tenancy Agreement (Please note that all tenancies commence on a Saturday). If you have occupied the Room prior to this, you will be charged £50.00 to cover our costs of preparing the Room for the replacement Tenant.
Extenuating circumstances
If at any time you believe there are extenuating circumstances (such as ongoing health issues which prevent you from continuing your chosen university course) which require you to cancel your booking, please contact us at hello@iqstudent.com to discuss this.
Any decision made to release you from the terms of the Tenancy Agreement is made by iQ Student Accommodation, at its sole discretion, on an individual case by case basis.
Governing law
These terms and conditions (including any claims or disputes relating thereto) shall be governed by and construed in accordance with the laws of Scotland. The Parties irrevocably submit to the exclusive jurisdiction of the Scottish courts over any claim, dispute or other matter arising under or in connection with these terms.

Cancellation policy
- Within 14 days from the moment of booking, you have the right to cancel your booking. This must be in writing (email) and we will refund to you in full minus any bank charges if applicable. This clause only applies to bookings starting in more than 14 days.

Please note that this does not include situations where your visa has been granted and subsequently withdrawn. This letter must include a date and student’s name.
- After moving in: After the customer collects his/her keys, the customer will be liable for the payment of rent and the other obligations set out in the Terms and Conditions of Tenancy (Assured Shorthold Tenancy). In the event the customer wishes to move out, he/she should contact the team who will be able to assist, but the customer must find a replacement tenant to take over the Tenancy and pay any associated administrative and clerical fees to carry out the transfer.
- Bookings are charged for a full week (7 nights) as standard.
- If, in exceptional circumstances, the accommodation booked becomes unavailable for reasons beyond our control an alternative will be arranged, but details may differ.
- You agree to read the cancellation section of the terms and conditions of both London Nest and the accommodation provider prior to acceptance of the invoice and to be bound by these terms and conditions.
- We will use our reasonable endeavors to recoup your payment from the accommodation provider on your behalf.

Cancellation policy
Cooling-off period cancellations
If the applicant hasn’t already checked into their accommodation, all license agreements will have a 7-day cooling-off period in which they can be terminated, beginning on the date the license agreement has been signed.
If the license agreement is terminated within the cooling-off period the applicant’s liability under the license agreement will come to an end, but Optivo reserve a right to forfeit all or part of any payment made towards their first week rent if a replacement resident is not found before the original tenancy start date.
No visa cancellations
International applicants whose license agreements are signed on or before 26 August 2022 can terminate their license agreement if they are unable to obtain a visa to study in the United Kingdom after having made reasonable efforts to obtain one.
For license agreements starting on 24 September 2022, the applicant must notify Optivo in writing no later than 26 August 2022 with their intention to terminate due to this reason. For license agreements starting before 24 September 2022, the applicant must notify Optivo in writing no later than 28 days before their tenancy start date with their intention to terminate due to this reason.
Evidence of failing to obtain the visa must accompany the notification to Optivo, to be verified by Optivo staff. This evidence may include but is not limited to: An email from the visa issuing office.
Once verified, the applicant’s license agreement will be terminated. If one week’s advance rent has been paid, this will be refunded.
No university place cancellations
Applicants in their 1st year of study whose license agreements are signed on or before 26 August 2022 can terminate their license agreement if their university place is withdrawn.
For license agreements starting on 24 September 2022, the applicant must notify Optivo in writing no later than 26 August 2022 with their intention to terminate due to this reason. For license agreements starting before 24 September 2022, the applicant must notify Optivo in writing no later than 28 days before their tenancy start date with their intention to terminate due to this reason.
Evidence of the university place being withdrawn provided by UCAS must accompany the notification to Optivo, to be verified by Optivo staff.
Once verified, the applicant’s license agreement will be terminated. If one week’s advance rent has been paid, this will be refunded.
Covid Cancellations
Residents that have not checked in and that are within the 7-day the cooling-off period, can request to terminate their license agreement if there is a UK Government imposed lockdown.
Residents that have checked in or are outside the 7-day cooling-off period can request to terminate their license agreement at the end of the affected payment period if both the UK government imposes a lockdown and their institution converts to an online-only teaching model. Payment period end dates are:
40-week license agreements 11 Feb 2023 (after 20 weeks of the license agreement has elapsed)
50-Week license agreements 11 Feb 2023 (after 20 weeks of the license agreement has elapsed); or 1 July 2023 (after 40 weeks of the license agreement has elapsed)
The resident must notify Optivo in writing no later than 7 days after the lockdown announcement with their intention to terminate due to this reason.
The resident’s rent account must be up to date on the revised licence agreement end date, before they are released.
Residents that have licence agreements for 50 weeks or more will be required to make a rent top up payment to bring their rent payments in line with residents with 40-week licence agreements. If applicable, this must be paid before the resident is released from their licence agreement.
Replacement tenants
If a resident wishes to cancel their license agreement, they can find a replacement tenant to cover the remaining length of the agreement at the same weekly rate. Once found the replacement tenant’s application can be processed.
Replacement tenants must be eligible students and apply online through the booking portal.
Optivo will release the original resident from their license agreement once the replacement tenant is fully signed up. This includes but is not limited to:
– The new applicant has provided details of a guarantor (if applicable)
– The new applicant has completed a right to rent in the UK check with our partner NSL (if applicable).
– The existing resident has paid any outstanding rent up to the termination date.
– The new applicant has paid for any rent due for the period.
– The new applicant has signed a license agreement and checked into their accommodation.
– The onus is on the resident to find the replacement tenant.
Optivo’s rights
Optivo reserve the right to terminate applications that have been assigned a room but that have not been completed within 7 days.
Optivo reserve the right to terminate duplicate applications or applications completed at multiple locations.
Optivo reserve the right to terminate applications that have been completed online but have outstanding documents or payments. This includes but is not limited to:

Cancellations will only be valid when in receipt of written cancellation consent from a member of our team. We suggest if you are unsure about exam results, receiving your visa or other condition on you attending University that you do not book until you are sure. After signing your Agreement, you are contractually bound to the tenancy and you can only be released after finding a suitable replacement tenant who will take on the full rent liability.

Cancellation policy
Our full termination policy is within your online account.
You can cancel your tenancy agreement for up to 14 days after the date of your booking (the Initial Cancellation Period). For bookings made from 1st August to 30th September ahead of the academic year the booking is for, the Initial Cancellation Period reduces to 7 days. We will refund the full security deposit.
Please note, £20 will be deducted from the refunded amount to cover any international bank charges for deposit refunds made to non-UK banks.
If you cancel your booking after the Initial Cancellation Period, you remain liable for the weekly rent (for each and every week or part week) until you are able to find another tenant that is acceptable to Homes for Students and we are able to re-let the room. The replacement tenant must be over the age of 18 and a have the necessary student status (it is your responsibility to find another tenant and provide them with the correction information). If you find a suitable replacement tenant and the room is re-let we will refund your deposit, less any appropriate charges, as well as a deduction of £50 for the variation of the contract.

Once you have paid your holding deposit and you have been allocated a room, then should you decide to cancel then the holding deposit is non refundable.
If you have paid the holding deposit and signed the licence agreement then you will be held to the terms of the licence until a replacement licensee is found.
If you rebook a room for a subsequent year and your deposit is carried forward, and then you decide to cancel this booking then the deposit will be withheld.

Cancellation policy
You can cancel your booking at any point however, you may still be liable for the rent on your room.
- If you have not collected your keys for the accommodation, you may cancel your booking by emailing us at bookings@studentfm.co.uk within 7 days of you receiving your booking confirmation (7-day cooling off period). If you cancel within these 7 days, a full refund of the deposit and any advance rent payments you have made.
- Upon expiry of the 7 day cooling off period, you will have to pay all amounts due on your Tenancy Agreement unless a replacement Tenant is found. If a replacement Tenant is found, we will release you from your tenancy agreement after 7 days of the new tenant signing their contract. If the replacement is found after the start date of your tenancy agreement, we will release you from the start date of the replacement Tenant’s new Tenancy Agreement. Any liability until that moment will remain with you.
- ‘First Year Guarantee’ – applicable to 1st-year students only. Some of the accommodation managed by StudentFM allows first-year students to cancel their tenancy agreement free of charge if their examination results change their plans: for example, a prospective tenant who fails to achieve the grades needed to take their place at their chosen university, or who surpasses their predicted grades and chooses to take a place at another university. If your chosen accommodation offers this guarantee before you are released from your contract, you will be required to provide:
– A rejection letter from your original university of choice
– Where applicable, an acceptance letter from the new university
If a student transfers to a university in a city where StudentFM manages accommodation, StudentFM may (subject to availability) offer the student a tenancy at the new location on the same terms as the student’s original booking. If this offer is made and refused, the original contract will be canceled, but StudentFM will charge a cancellation fee (not exceeding £100) and (if the tenancy has started) charge rent up to the date of cancellation. All documentation must be received by us via email within 7 calendar days from the date your results are published.
- ‘Visa Rejection’. Students that require a visa to study in the UK may cancel their booking if their visa application has been rejected. The student must provide evidence of their visa application rejection letter within 7 days of notification before the move-in date and if applicable a full refund will be given. Evidence must be sent via email to Accommodation Office.

Cancellation policy
During cooling-off period
You can cancel your booking in writing or by sending an email directly to the Property Team within 7 days of accepting your tenancy agreement. If you decide to cancel your accommodation booking within these 7 days, we’ll arrange a full refund of your deposit. No fees, no fuss.
If you book your accommodation on or after 1 August 2022, your cooling off period will reduce to 24 hours only from the point you accept it. If you do cancel your booking within these 24 hours, we will arrange the return of your full deposit.
Please note that at the point you receive your key and check in to your accommodation, the cooling-off period will immediately and automatically end.
After cooling-off period has expired
If you wish to terminate your tenancy agreement after the cooling-off period has expired, there are some circumstances where you may be able to be released from your tenancy, e.g. if you can evidence that you are not/are no longer a student at university. In other cases, you may need to find a replacement tenant.
Please read the sections below, and check if any of these apply to you. To put in a cancellation request, please send an email or letter directly to your Property Team. They will respond as soon as possible, letting you know if there is any extra information you need to provide.
The following procedure applies to the below:
- Failure to receive grades (all academic years)
- Failure to obtain visa (all academic years)
- Studying in an alternative city where Student Roost accommodation is unavailable
- The pre-sessional English language course required to take up your University place is cancelled
- Deferment of University entry (all academic years)
- Eviction from University
- Voluntary withdrawal from University
If you’ve confirmed your Student Roost accommodation but then can longer attend the affiliated University for one or more of the above reasons, you may be able to cancel. If this has happened to you, please email or write to your Property Team immediately, explaining the reason(s) you need to cancel. You must also provide official written evidence from the relevant University and/or Summer School and/or UCAS and/or VISA authorities/embassy (which must include the reason(s) why you cannot attend the relevant University) to your Property Team within 3 calendar days of the results or decision being published or reached. If sufficient evidence is provided to our satisfaction, you will be eligible for release from the tenancy agreement and we will arrange to return your full deposit (if you have already moved into your accommodation, this would be minus any deductions relating to the condition of your room/flat upon your departure).
If you have changed your mind about your choice of University and wish to study in a different city, we will seek to place you in Student Roost accommodation in that city, if such accommodation is available. If alternative Student Roost accommodation is unavailable, and you provide sufficient evidence of your change in circumstances as set out above, you will be eligible for release from the tenancy agreement and we will arrange the return of the full deposit (minus any deductions that apply if you have moved in).
The following procedure applies to the below:
- Change of mind
- Booked different accommodation
- Accepted onto a placement
- Single semester course
- Classes temporarily or permanently being delivered online, or decision to commute to your University city
If you do not wish to live at Student Roost for one or more of the above reasons, you will be required to find a replacement person to take over your tenancy. The replacement person must be a student and match the preferences of the accommodation (e.g. female-only flat).
The replacement person must sign a contract for the entire length of your tenancy agreement and secure this with payment of the deposit. If a replacement person is found, you will be released from your tenancy agreement from the start date of the replacement person’s tenancy. Student Roost will also return your deposit in full (minus any deductions relating to the condition of your room/flat upon your departure). Please note that your deposit will be retained and you will remain liable for all accommodation fees until a replacement person is found and their tenancy starts.
We assess all requests to cancel on a case-by-case basis. You, or someone who you have given written authority to act on your behalf, must make a request to cancel in writing or via email to the Property Team. You must also provide sufficient documentation supporting the reasons for the request and why they prevent you from living in your accommodation.
Until a decision has been made, you will remain liable for all accommodation fees. If a tenancy release is not granted, you will be required to find a replacement person before you are released from your tenancy. If you are granted a tenancy release, we will arrange the return of your deposit (minus any deductions relating to the condition of your room/flat upon your departure).

The current Occupier will have the right to terminate the Agreement if their VISA has been declined and the Occupier is denied entry in to the United Kingdom. The Occupier must give Study Inn written notice of the cancellation and provide proof of the declined VISA. The written notice must be received no later than 14 days prior to the start of the Agreement. In these circumstances, there will be a £50 transfer of the Agreement fee, which will be deducted from the monies paid to Study Inn. The remainder of the payments made to Study Inn will be returned to the Occupier and the Occupier will be released from the Agreement.
The current Occupier will have the right to terminate the Agreement if their University application has been declined and the Occupier is denied studying at the university in the United Kingdom. The Occupier must give Study Inn written notice of the cancellation and provide proof of the declined University application. The written notice must be received no later than 14 days prior to the start of the Agreement. In these circumstances, there will be a £50 transfer of the Agreement fee, which will be deducted from the monies paid to Study Inn. The remainder of the payments made to Study Inn will be returned to the Occupier and the Occupier will be released from the Agreement.
The current Occupier will have the right to terminate the Agreement if the Occupier is unable to arrive due to travel restrictions imposed by the Government due to the COVID-19 virus. The Occupier must give Study Inn written notice of the cancellation, provide proof of not being able to travel due to the COVID-19 virus and also an official letter from the University confirming that the Occupier will not be enrolled as a student at the University for the new academic year. The written notice must be received no later than 14 days prior to the start of the Agreement. Required quarantine/self-isolation due to the COVID-19 is not considered a travel restriction. In these circumstances, there will be a £50 transfer of the Agreement fee, which will be deducted from the monies paid to Study Inn. The remainder of the payments made to Study Inn will be returned to the Occupier and the Occupier will be released from the Agreement.
The current Occupier will have the right to defer the start of the Agreement if the start of the new academic year is delayed. In these circumstances, the start of the Agreement will be deferred to the first day of the month in which the new academic year starts. The Occupier must give Study Inn written notice to move the start of the Agreement and provide proof of the start of the academic year being delayed. The written notice must be received no later than 28 days prior to the start of the Agreement. Required quarantine/self-isolation due to the COVID-19 is not considered as a reason to defer the start of the new academic year.
In these circumstances, the monies paid to Study Inn will remain in place and the length of the Agreement will be adjusted accordingly (the end of the Agreement remains the same). During the period of the delayed occupation, the room will be available to be secured by other Occupiers. Should the desired room type become fully booked, an alternative room type will be offered in the first instance. In the circumstances of an alternative option not being available, the Agreement will be terminated by Study Inn with full credit being processed.

If you wish to cancel your booking you may do so in writing or by sending an email directly to the Property Team within 14 days of accepting your tenancy agreement. If you decide to cancel your accommodation booking within these 14 days, you will receive a full refund of your deposit. You can cancel your tenancy agreement for up to 14 days after the date of your booking (the Initial Cancellation Period). For bookings made from 1st August to 30th September ahead of the academic year the booking is for, the Initial Cancellation Period reduces to 3 days.
Unless the Tenancy Agreement has already commenced (meaning the Tenancy Start Date is on or before the date the Tenancy Agreement is dated) you may cancel your Tenancy Agreement (by giving us written notice of cancellation) at any time during the period ending on the date 14 days after the date we confirm your booking is complete (the “Initial Cancellation Period”). If you cancel the Tenancy Agreement during the Initial Cancellation Period, we will make no charge and will return to you your Deposit in full.
Cancellation beyond the 14-Day Cooling Off Period
If you wish to cancel your booking beyond the 14-day cancellation period, the below is applicable.
Outside the Initial Cancellation Period, you will remain liable for the rental monies due under the Tenancy Agreement for the whole of the Tenancy Period or until a replacement tenant (who is satisfactory to the Landlord) is found for your Room.
Where the replacement tenant is satisfactory and completed their agreement, we will release you from your tenancy with effect from the start date of the new agreement with the replacement tenant.
Any overpaid rent will be returned in full to you, your deposit will be returned less any deductions – after inspection of your room for cleaning or damages.
The entering into a new tenancy agreement with a replacement tenant will be entirely at the discretion of the Landlord/Management Company.
No visa/ No pay
If you secure your accommodation and you are no longer able to attend the affiliated University due to having your visa rejected, then you must provide official written evidence from the University (and relevant VISA authorities) a copy of this must be sent directly to the Property Team within 5 calendar days of the decision being notified to you. If adequate evidence is provided, you will be eligible for release from the tenancy agreement and the full deposit and any rent paid will be returned.
No Grades?
If you secure your accommodation and you are no longer able to attend the affiliated University due to not achieving the grades, then you must provide official written evidence from the University (and relevant bodies at UCAS), a copy of this must be sent directly to the Property Team within 5 calendar days of the decision being notified to you. If adequate evidence is provided, you will be eligible for release from the tenancy agreement and the full deposit and any rent already paid will be returned.
Illness/Extenuating Circumstances
If you wish to leave the accommodation due to illness or any extenuating circumstances, this is assessed on a case-by-case basis. The request to cancel must be made in writing or via email at point of contact and you should provide relevant material to support your release. Until a decision has been made by the property team, you remain liable for all accommodation fees. If a tenancy release is not granted, you will be required to find a suitable replacement person before you are released from your tenancy. If you are granted a tenancy release, your deposit will be returned to you (minus any deductions relating to the condition of the property upon your departure) and any overpaid rent.

- You choose to move to another university in a city where we are yet to have true Student accommodation

T&Cs Apply
There is a 48-hour cooling-off period once the Tenancy Agreement has been signed, after which the Tenancy Agreement is legally binding. This applies to all 22/23 contracts.
In some cases, we will cancel the booking if a replacement tenant is found who will take on the rent liability. This decision will be made by the management team at their discretion.
The true guarantee only covers your booking prior to check-in, once you have moved into a true accommodation – you are no longer able to cancel your booking for the reasons stated above.

Cancellation policy
Unless you have already collected the keys to the accommodation, you may cancel your booking by writing or sending an e-mail to us at cancellations@unitestudents.com, at any time during the 7 days after we send you an e-mail confirming your booking is complete (the “7 Day Cooling-Off Period”). If you do that, you will not be charged and we will return your deposit or any Advance Rent Payments you have made.
Provided the 7 Day Cooling-Off-Period has expired, you will have to pay all amounts due under your Tenancy Agreement unless a replacement Tenant is found for your Room or you enter into a new Tenancy. If a replacement Tenant is found for your Room before your start date, we will release you from your Tenancy Agreement on the date seven days after the new Tenant’s Tenancy Agreement is signed. If a replacement Tenant is found for your Room after your start date, we will release you from your Tenancy Agreement from the start date of the replacement Tenant’s new Tenancy Agreement. If you have occupied the Room prior to this, you will be charged £50.00 to cover our costs of preparing the Room for the replacement Tenant.
No Place No Pay – applicable to 1st year students only. If you are a prospective first year undergraduate student and your offer of a place at your preferred University/Higher Education Institution is withdrawn by the University/Higher Education Institution as a result of you not achieving their required entry grades, you may be eligible to be released from this agreement. You may also be eligible to be released from this agreement if you are a prospective first year undergraduate student and you choose to go to a different University because you have exceeded your expected grades. To apply to be released from this agreement in the circumstances referred to above, you will need to supply us with a copy of:
– A written rejection letter from your chosen university/college or UCAS or a screen shot of your UCAS status which confirms that the required results were not achieved; or
– A copy of the proof of acceptance of your new university by UCAS adjustment.
These document(s) must be received by us within 7 calendar days from the date your results are published. Please email the documentation to cancellations@unitestudents.com. On receipt of the required documentation it will be verified and, provided we are satisfied, we will cancel your agreement and refund any deposit or advance rent paid in full.

Unless the context otherwise requires, words and expressions defined in your Licence to Reside (“Licence”) shall have the same meanings in this Cancellation Policy.
Bookings made prior to 1st June 2022
If you sign your Licence to Reside prior to 1 June 2022 and you have not collected the keys to your Room, you may cancel your Licence, by giving notice in writing or by e-mail to the Manager at the Property, with no penalty up until the 1st June. Once we receive such a notice, we will confirm receipt, cancel your Licence and will refund your Advance Room Fee Payment of €300.00.
Bookings made on or after 1 June 2022
If you sign your Licence to Reside on or after 1 June 2022 and you have not collected the keys to your Room, you may cancel your Licence, by giving notice in writing or by e-mail to the Manager at the Property, at any time within the period of fourteen (14) days of the date on which you sign your Licence to Reside (the “Cooling-Off Period”). Once we receive such a notice, we will confirm receipt, cancel your Licence and will refund your Advance Room Fee Payment of €300.
Bookings made for Semester 2 or 3 starting after 1 January 2023
If you sign your Licence to Reside for a semester 2 or 3 beginning after 1 January 2023, you may cancel your Licence, by giving notice in writing or by e-mail to the Manager at the property, with no penalty up until 15 November 2022 or 8 weeks before the start of your agreement which ever is the shortest. Once we receive such a notice, we will confirm receipt, cancel your Licence and will refund your Advance Room Fee Payment of €300.00.
If you have not collected your key you may also cancel at any time within the period of fourteen (14) days of the date on which you sign your Licence to reside (the “Cooling-off Period”). During the cancellation Period you may cancel your Tenancy, by giving notice in writing or by e-mail to the Manager at the property, Once we receive such a notice, we will confirm receipt, cancel your Licence and will refund your Advance Room Fee Payment of €300.00.
Cancelling outside the Cooling-Off Period
Outside the Cooling-Off Period, you may request to cancel your Licence to Reside, by notice in writing or by e-mail to the Manager at the Property. However, you will remain liable for the Room Fee payable under the Licence to Reside until a suitable replacement student has been found.
Cancelling as you do not receive your visa
If you are not successful in being awarded a visa to travel and study, then we can help. Firstly, we may be able to transfer you to another one of our residences around the globe if you are going to study elsewhere. If you are not going to study elsewhere or we do not have accommodation available in your new city/town of study, we will release you from your Licence to Reside provided the following criteria are met:
– You submit your request to cancel, in writing or by e-mail to the Manager at the Property, within 3 days of your visa rejection letter; and
– You provide the Manager with a copy of your rejection letter from the embassy or visa office.
One less worry if you don’t receive your points
This is applicable to prospective first-year undergraduate students only
If you are not successful in obtaining your place at your chosen college, then don’t worry, we can help. Firstly, we may be able to transfer you to another one of our residences if you are going to study elsewhere. If you are not going to study elsewhere or we do not have accommodation available in your new city/town of study, we will release you from your Licence to Reside provided the following criteria are met:
Current year leaving certificate students may submit a request to cancel, in writing by e-mail to the Manager at the property, by the 9th September 2022 (within 24 hours of your offer)
You provide the Residence Manager with a copy of your rejection letter from the college or CAO.
Any first year round one student that already has a room reserved has the right to amend their start date to the 12th September 2022, by providing a copy of their offer or evidence they are a first year awaiting round one CAO offer.
Once we have your request, we will confirm receipt and refund your Advance Room Fee Payment of €300.
